Recording payments

Payments made at Shopify checkout or through Shopify’s payment page are picked up automatically. Use Money owed → Payments → Record payment for money that reaches you outside Shopify.

  1. Choose the company location that paid. Its open invoices appear.
  2. Enter the amount, the date the money arrived and the method (bank transfer, cheque, cash or other). Add the bank reference so you can match it later.
  3. Choose how to apply it:
    • Oldest invoices first (the usual choice), or
    • Invoices I choose, with an amount per invoice.
  4. Record payment.

Anything not applied becomes unapplied credit for that location. When “Apply unapplied credit automatically” is on (Settings → Payment reminders and statements), it pays the next invoice of the same location and currency.

When a payment covers an invoice in full, Termpact marks the order as paid in Shopify. Partial payments are kept in Termpact only; the order in Shopify stays unpaid until it is covered.

If a cheque bounces or a payment was entered by mistake, open Payments, choose Reverse and give a reason. The invoices open again; orders Termpact had marked as paid in Shopify get an adjustment so both sides match.

Only payments recorded in Termpact can be reversed here. Refund Shopify payments in Shopify.

Recording and reversing payments needs the Owner, Admin or Credit manager role.
